Finding club information

Club information (venues, day and time of meeting and the like) is listed on the RI web site as well as on Rotarnet and this site.

RI web site:

Access RI web site's Club Meeting listings via "Club Locator" on the top most rotary.org menu bar, to the left of the search box.

Clubs can be listed by District, or searched based on name or part of name there. The RI database has been based on the Official Directory, which is published every 12 months. The information for this publication came primarily from the information returned to RI about the incoming presidents and secretaries the previous December. Inevitably, it was sometimes out of date. That page offers some options to amend data, but who wants to post a message on club letterhead to the US, there are easier ways outlined below.

Club presidents and secretaries can now amend the data for their own club and members via the Member Access area of the RI web site, or via your Club Administration Software.

District web site and Rotarnet:

The club listing on the relevant district web site (which are listed on Rotarnet.com.au for clubs in the SW Pacific) may be more up to date. Just select "Clubs and Districts" in the top Rotarnet menu bar, and search by district, club name or postcode.
We try to make sure our
Club List here is as up to date as clubs advise us, so see our Contact Us page to do that. Our information is stored in the Rotarnet database.


Finding Club Web sites

The easiest way to find a club web site is do a web search for the club name (see our Web Hints page for some web search engines). There are listings of club sites on RI, Rotarnet and the District web site.

RI web site:

On the RI site rotary.org, go to "Club Support" then open the "Registry of Rotary Web sites".
You can search by club or district. Addresses here are only present if the someone from the club or district has bothered to add their entry though.
To add or update the club web address on the RI site:
You need your club's RI number. Again the Club Secretary should have it, if it is not on your letterhead or web site already. Once in to this area, do a search for your club's site, then follow the directions there to add or change it if needed.

District web site and Rotarnet:

A link to each club web site that we know about is included with the Club List on our District web site, and just see our Contact Us page to amend anything there.
Our
Club List uses the Rotarnet.com.au database for clubs in the SW Pacific. Just select "Clubs and Districts" in the top menu bar for other districts in that area, and search by district, club name or postcode.


Updating via RI-CAS:

Clubs in District 9750 are encouraged to obtain or update and use RI-CAS (Club Administration Software, formerly Clubmate).
See the
RI Admin Software area of the District Web Site.

With RI-CAS, once the member's information has been entered into your RI-CAS database, it is possible to generate an e-mail to RI, District (and add RDU) to advise of change member address, new, or terminated members with the one click.
Once the changed member details have been entered into the database there is a button in the toolbar "Send Changes to RI", or when you exit the member information area it should prompt you asking if you want to send such. This will generate an e-mail addressed to RI and District, provided you have entered that information into your "
Club Setup". You can add the RDU address ( subscriptions@rotarydownunder.com.au ) to the e-mail or forward a copy of the e-mail to them later if you don't get to do so at that time.

You can then go to the RI Member Access on-line, described below, a day or so later and add further information or find out things like the RI Member ID number for a new member. The basic job has been done for you though, using data you have already entered in RI-CAS.


Updating via Member Access area on RI web site
(formerly the Rotary Business Portal)

This is used for an increasing number of functions, like member's own information, making contributions to the Rotary Foundation, allowing club officers to update club and member information, access to RI-CAS forums and to download RI Club Administation Software, and other.

or find it at at the right hand end of the second menu line on the RI Home Page (just under the search box).

You must register with member access and get a password to make use of the facilities available.

Club Meeting Details (also club and member details)

In Member Access, the club president or secretary can register and get a password to enter or modify club and member data (including meeting details AND adding new members, changing member's addresses, and notifying member terminations) directly into the RI database on the web site.


RI Forms

If this is all too hard, just download the traditional forms in PDF format from the RI Download area:
http://rotary.org/newsroom/downloadcenter/membership/index.html#recruitment
and fill out the "Membership Data Form", which combines all the previous new, changed or terminating member forms.

If you have Adobe Acrobat 5 or later you can fill out the form electronically, and e-mail it to the USA at data@rotary.org.
Otherwise print it out (and fill in by hand if needed), then either post or fax to RI SPPO, you don't have to post or fax to the USA head office.

  • "The Rotary Foundation" contacts listed for SPPO are for TRF queries, including grants, donations and anything related to PHFs (Paul Harris Fellow recognitions).
  • The "Administration" group would be mostly for the Literature contact, to obtain material published by RI.
  • The "Finance" contacts are for RI subscription and account enquiries.
  • The "Club and District Administration" (CDA) contacts listed for SPPO are the prime ones to support club and district officers and help with queries on organisational matters, policy and rules interpretation etc.
    These should be your first contact point if it is not clear who to approach.
